HQ CFO is a trade name of HQ Business Services LLC, a New Hampshire limited liability company. This policy applies to the website at hq-cfo.com and to the financial services we provide to clients, including how we access, process, and protect client financial data.

What we collect

We collect personal information when you voluntarily submit it through our website — for example, via the contact form, an email sign-up form, or by opting in to receive text messages. That information may include:

  • Your phone number (if you opt in to text messages)

We do not use analytics services, advertising pixels, or any third-party tracking scripts. No cookies are set by this website beyond those strictly necessary for spam prevention (see below).

Client financial data

When you engage HQ CFO for accounting or advisory services, we access your financial data through authorized connections to your accounting platform (such as QuickBooks Online). This access is governed by your signed engagement agreement and is limited to the scope of services we provide.

What we access:

  • Chart of accounts, general ledger, and transaction records
  • Customer, vendor, and employee records within your accounting system
  • Financial reports, invoices, bills, and payment records

We do not store copies of your financial data beyond what is necessary for active service delivery. Authentication credentials used to access your accounting platform are encrypted at rest using AES-256 encryption.

Technology and tools

HQ CFO uses AI-assisted tools to support the accuracy and efficiency of our financial services. These tools operate under direct human supervision. Every action that modifies your financial records requires explicit confirmation before it is applied.

Specifically:

  • AI tools may read and analyze your financial data to assist with categorization, reporting, and advisory work
  • Your data is not used to train AI models
  • AI-assisted analysis is reviewed by our team before any changes are made to your records

We obtain explicit written consent before using AI tools on your financial data. This consent is documented in your engagement agreement.

Third-party services

In the course of providing services, we use the following third-party platforms. Each processes data only as necessary for its stated purpose:

  • Intuit QuickBooks Online — accounting data access and management, governed by Intuit's Developer Terms
  • Anthropic — AI-assisted financial analysis, governed by Anthropic's Commercial Terms
  • Google Workspace — email communication and document collaboration
  • Cloudflare — website hosting and security (see below)

Cloudflare

This website uses Cloudflare for hosting and spam prevention. Cloudflare Turnstile is embedded in the contact form to distinguish humans from bots. Turnstile may set a cookie or use browser signals for this purpose. It does not track you across websites or collect personal information beyond what is needed for spam detection.

Text messaging

By providing your phone number and agreeing to receive texts, you consent to receive SMS messages from HQ CFO. These messages may include:

Mobile opt-in and consent information is never shared with third parties for any purpose. Customer data is not shared with third parties for promotional or marketing purposes.

Do Not Track and Do Not Sell

We do not sell or share personal information with third parties for their marketing or advertising purposes. We do not respond to browser "Do Not Track" signals because we do not track users across websites. No action is needed on your part.

Data retention

Contact form submissions are retained only as long as needed to respond to your inquiry and for any related follow-up. If you have not opted in to marketing communications, your contact information is not added to any mailing list.

If you subscribe to our newsletter or opt in to email updates, your email address is retained until you unsubscribe. You may unsubscribe at any time, and we will remove your address from our mailing list within 10 business days.

Client financial data is accessed in real time through authorized platform connections. We do not maintain local copies of your financial records. Encrypted authentication credentials are retained for the duration of the engagement and securely deleted upon termination.

Security incidents

In the event of a data breach affecting your personal or financial information, we will notify affected individuals within 48 hours of discovery, in consultation with legal counsel and subject to any applicable law enforcement delay, in accordance with New Hampshire RSA 359-C:20 and any other applicable state notification laws. We will also take reasonable steps to mitigate the impact and prevent future incidents.

Children's privacy

This website is not directed to individuals under 13. We do not knowingly collect personal information from children. If we learn that we have collected information from a child under 13, we will delete it promptly.

Your rights

You may request access to, correction of, or deletion of any personal information you have submitted to us. To make such a request, contact us at hello@hq-cfo.com.

Changes to this policy

If this policy changes materially, we will update the effective date at the top of this page.
